THE CORPORATION ONCE AGAIN TAKES THE LEAD IN INNOVATIVE PROCESSES, BY INCORPORATING THE MODERN MANAGEMENT-IMPROVING TECHNOLOGICAL TOOL.
January 22, 2017
The University had a crucial moment with the implementation of the SAP-UTALCA system, a modern technological tool that manages various areas and streamlines the institutional administrative processes, optimizing the internal work.
In this way, the corporation once again takes the lead in innovative processes, according to President Alvaro Rojas, "being the first public university that performs an operation of this scale to improve management".
At the same time, he recalled that the decision to implement this technological tool is due to the institutional strategic challenge to streamline the administrative management.
SAP is a software system of corporate resource planning (ERP) that allows solving, in an efficient and comprehensive way, management problems caused by the centralization of information.
The president emphasized the great effort and dedication of the team for the implementation of the new system and the contribution of the leader users, officials from each department and Unit, who were trained to carry out the process of implementation in a decentralized manner.
"Today marks a crucial milestone, perhaps the most complex stage of the project, in which the system will come to the end users," he added, along with stressing that the participation and commitment of the university community is essential at this stage. In this regard, he pointed out that "it is essential for the achievement of our common dreams that we all become actors in the changes through which we are living."
The Vice President for Economic Management and Administration, Hugo Salgado, a key player in this change, was the one who lead the implementation of the operation and previous phases of the system which he described as "an integrated platform that will allow us to improve the times of the processes, reduce the rate of errors and, ultimately, achieve greater agility in our management".
SAP-UTALCA begins to operate on January 23, with the first modules, responsible for the acquisition and selling processes. Seven modules have been defined, related to sales of products and services; procurement of goods and, services and inventory management; management of all financial and accounting processes of the Organization, budgetary control to manage the cost structure of student financial services; recruitment and salaries, and recruitment, selection and management of occupational skills.
Hugo Salgado emphasized that "people makes the system work” and the starting of the operations highlighted the importance of end-users. "To do this we have prepared leader users, who have all the tools necessary to show the operation and help the rest of the users of the academic community to use and take advantage of this tool," he stressed.
He admitted that there may be difficulties in the beginning, but it is expected that everybody helps to reveal any shortcomings and collaborate in the continuous improvement. "This is a living system, which needs to be fed, be understood and used in order to obtain its full potential and for that, participation is critical," he emphasized.
