NEW SAP-UTALCA SOFTWARE MODULES BEGIN OPERATION

THE VICE PRESIDENT FOR ECONOMIC MANAGEMENT AND ADMINISTRATION, HUGO SALGADO, HIGHLIGHTED THE BENEFITS THAT THE INCORPORATION OF THIS INNOVATIVE SYSTEM WILL BRING.

New modules of the SAP-UTALCA institutional project come into operation on Monday March 6, after the successful launch of this innovative system on January 23, when the operation of the institutional sales and purchases modules started, called as SD and MM, and the one about budgetary planning, BCP.
 
On this occasion, what is being implemented are the HCM (remuneration and contracts), T&E (travel and staff expenses), SSFF (staff working record), FI (treasury and accounting) and CO (budgets) modules.
 
 
"This new milestone includes a number of important administrative and financial processes, which affect each one of the people who work at the university and requires the participation, patience and commitment of all. In these new modules, all users of the system will begin to discover, after a normal process of learning and starup, the great benefits that this change will bring in the administrative management to all members of the university community," said the Vice President for Economic Management and Administration, Hugo Salgado.
 
 
In order to generate an acceptance process of the new system in the easiest and fastest way possible, the vice president said that provision has been made for a series of accompanying measures for the users, so that they can feel supported in this great process of institutional change. This strategy has been based on three fundamental pillars: the creation of strong work, training and support teams.
 
 
The strategy of adopting the new system considers different aspects, from the creation of a collaborative work platform -colabora.utalca.cl - and the generations of a team of empowered key users, who are responsible for each module and who have strengthened important skills - leadership, teamwork, accountability and service orientation - that will enable them to respond to the challenges of this new period, as well as the creation of a team of leader users who work in the different units of the University," he said.
 
 
He added that the latter have the primary task of assisting members of their teams to learn the new features of the system.
 
 Training
 
 
For this reason, the training strategy has focused, in the first place, on the leader users, as the first responsible for learning and internalizing the new processes, and then approach the other users of the system.
 
For this purpose, the training program launched in 2016 will continue, when collaborative spaces for discussion of specific cases and the clarification of doubts on the part of the users themselves were generated, and for this purpose they will have a permanent schedule, every day from 17:30 to 18:30, at the DTI premises.
 
Additionally, a support strategy for end users at various levels was put in place, the first of which is composed of the leader users, who are in a position to respond to basic queries and guide the end users. A second level includes the use of the colabora.utalca.cl tool, which has self-learning material, such as guidelines, videos and user manuals, and which also allows to interact through discussion forums and the generation of questions.
 
 
a third level of support is the soportesap@utalca.cl e-mail, where the questions will be received and, finally, in a fourth level the most complex problems will be addressed through a telephone platform, at the 2911 extension.
